Goods shipment

The Goods shipment document records goods issued from a warehouse, automatically reduces stock balances, and allows you to track which goods have already been shipped to the customer and which are still pending shipment.

A shipment can be created either from a Sales order or independently, depending on how the company organizes its workflow.

info

If warehouse management is disabled in the program settings, there is usually no need to create shipment documents. In this case, operations are controlled directly using sales invoices.

What is it used for?

The Goods shipment document allows you to:

  • record goods issued from a warehouse;
  • update stock balances;
  • track shipped quantities and quantities pending shipment;
  • prepare shipping documents.

Shipment information is also used to track the status of sales orders.

Creating a shipment

You can create a Goods shipment in several ways:

  • from the list of shipments using the Create command;
  • from a Sales order.

Creating a shipment from a Sales order is usually more convenient, as the program automatically fills in the customer, goods, and other required information.

Creating a shipment from a Sales order

When you create a shipment from a Sales order, the program automatically fills in:

  • the customer;
  • the contract;
  • the goods;
  • the quantity pending shipment.

You only need to specify the warehouse from which the goods will be shipped and, if necessary, change the quantities.

Selecting a warehouse

Unlike in the Sales order, the warehouse is selected in the Goods shipment document.

This allows you to decide which warehouse the goods will be shipped from when preparing the shipment.

If the company uses several warehouses, each shipment can be created for the appropriate warehouse.

info

If batch tracking is used for a product, you must specify the corresponding batch before posting the shipment.

If the warehouse uses bins, you must also specify the bins from which the goods will be picked.

The setup and use of batch tracking and bins are described in detail in the Warehouse section.

Shipped and pending quantities

Goods from an order can be shipped in full or partially.

Each document automatically updates the shipped quantity and allows you to see at any time which part of the order is still pending shipment.

The remaining goods can be shipped later without losing track of the order status.

tip

Partial shipments, shipments from multiple warehouses, and goods reservation are described in detail in the Warehouse section.

Relation to other documents

Goods shipment is part of the standard sales process.

Depending on how the company organizes its workflow, the invoice can be issued either before or after the shipment.

The shipment also automatically updates the Sales order status and allows you to see which goods have already been shipped and which are still pending shipment.

Various documents used for shipping can be printed from the Goods shipment document, for example:

  • CMR
  • Packing list
  • Delivery note
  • Consignment note
