Customers, Suppliers and Contracts

Introduction

Customer and supplier records are an important part of the reference information in 1C:Gestión Integral.

They are used in sales, purchasing, treasury, and accounting processes. Depending on the context, the same company or individual may act as a customer, supplier, or another participant in business operations.

Contracts allow users to store information about business relationships and define values that will be automatically applied to documents.

Creating Customers and Suppliers

Customers and suppliers can be created directly from the documents where they are used, such as sales orders, purchase orders, or invoices.

When selecting a customer or supplier, the system allows users to search existing records by name. If the required record is not found, the full list can be opened using the Show More option, and a new record can be created.

In addition to the name, searches can be performed using other information, such as the tax identification number.

Main Information

The record contains the information required for commercial and administrative operations:

  • Individual name or company name.
  • Tax identification number (NIF, DNI, NIE, and others).
  • Addresses.
  • Phone numbers.
  • Websites.
  • Email addresses.
  • Messaging service links.

Automatic Verification of Tax Data

When a Spanish tax identification number is entered, the system can automatically verify the information against AEAT records.

For companies, the legal name can be filled in automatically using the information obtained from the registry.

For individuals, the system checks for discrepancies between the entered name and the registry information and suggests corrections when necessary.

Representatives

The Representatives tab allows users to register individuals who act on behalf of the customer or supplier.

Business Activity

The Sales and Purchasing Chart tab displays the history of operations carried out with the customer or supplier during the last twelve months.

Sales Agent Information

If sales agent commissions are enabled, additional information can be recorded in the record:

  • Sales agent.
  • Date of first contact.
  • Commission settlement period.
  • Commission percentage.
  • Commission calculation method.

Contracts

Purpose of Contracts

Contracts allow users to store information about the terms of cooperation with a customer or supplier.

The use of contracts is optional and depends on the company's business processes.

In addition to storing contractual information, contracts can automatically provide default values for orders, invoices, and other related documents.

Contract Information

Each contract may include:

  • Contract identification.
  • Attached files, such as signed agreements, annexes, and other related documents.

Information Inherited by Documents

When an order, invoice, or another document is created from a contract, or when a contract is selected manually, certain values can be copied automatically from the contract.

These may include:

  • Department.
  • Manager
  • Tax regime of the transaction.
  • Discounts, if this functionality is enabled.
  • Contract currency, if multicurrency accounting is used.
  • Exchange rate adjustments.
  • Payment terms.
  • Party responsible for bank charges.

Contract-Based Analysis

Contracts make it possible to analyse transactions and outstanding balances by contract.

This is especially useful when multiple independent business relationships exist with the same customer or supplier.
